Senior Administrator

Location: Jersey

Salary:

Responsible for the routine administration of a mixed portfolio of clients and/or assisting a senior member of the team.
Delegate basic tasks to more junior staff within the group.

                     
RESPONSIBILTIES
              
  • Undertake the day-to-day administration in accordance with the terms of the appointment including the maintenance of all relevant Trust/Company records for the cases held by the relationship team.
  • Maintenance of statutory records in liaison with Company Secretarial department.
  • Complete tasks that arise as a result of the Director undertaking client reviews and other internal control routines in a timely and efficient manner.
  • Ongoing cash management in respect of portfolios of Trusts and Companies managed by the team, including monitoring of cash balances and overdrafts in accordance with the department policy.
  • Ensure that all administration and client service issues are attended to in accordance with the department service standards and company procedures manual(s) in force at any given time.
  • Attendance to correspondence and telephone contact with clients and/or their advisers on all matters in a timely and efficient manner.
  • Review of ledgers on a daily basis to monitor service centre tasks.
  • Ensure that accounts relating to his/her portfolio of trusts and companies are prepared in an accurate and timely manner in accordance with agreed requirements.
  • Responsible for providing any other relevant information to the clients and/or their advisers or to third parties at the request of the client.
  • Endeavour to meet the financial targets for the Trusts and Companies under the management.
  • Ensure that all fees for the portfolio are charged and taken on a timely basis.
  • Ensure that the bookkeeping on the portfolio is kept up to date.
  • Delegate tasks to more junior staff within the group.
  • Responsible for the management and development of the staff within the team/group.
  • Management of wip and debtors.
  • Endeavour to meet financial targets for the cost centre.
  • Provide assistance to more junior staff.
  • Contribute to the overall effectiveness of department by interaction/communication with colleagues.

KNOWLEDGE AND SKILLS REQUIRED

  • Hold or be studying for a relevant professional qualification.
  • Generally have 5 years experience in Trust and Company administration
  • Posses organisational/prioritisation skills
  • Posses good interpersonal skills to allow for a good relationship with clients and colleagues
  • As a result of study and experience possess a working knowledge of Trust Administration including the tax ramifications of various structures
  • Good understanding of Company Law(s)
  • Ability to interpret and review a set of accounts
  • Ability to meet deadlines
